DTC Minutes of Grounds Committee Meeting - 22 May 2018

Minutes of the Grounds Committee meeting held on Tuesday 22nd May 2018 at 4.15pm, in the Town Council Office, Dulverton.

Present: Cllrs: Mrs Christine Dubery, Mr Ian Fleming; Mrs Judy Ernest and Mr Gerry Lewis.

Apologies: None

Election of Chairman:

Mrs Dubery was proposed as Chairman by Mr Lewis and seconded by Mrs Ernest. There were no other nominations. Mrs Dubery was elected unanimously.

Declarations of Interests:

Cllrs. Mr Ian Fleming and Mrs Christine Dubery with regard the Sports Field.

Matters Arising:

All Saints Church:

  1. Reinstatement of Lower Terrace – The contractors have confirmed that work is to commence next week.
  2. Play Equipment Inspection – Members were given sight of the inspection reports submitted by Mr Takel.

Barnsclose: Items of concern will be reviewed in June.

Kings Corner: Cllr Fleming agreed to investigate the cost of power washing the equipment.

Tree Survey:

     To be carried out in June and covering all areas owned by DTC.

Exmoor Lawns Transfer:

Representatives from the Town Council have met with the solicitor to clarify members’ instructions.          

Machinery Issues:

The bobcat was serviced at the beginning of the year. However the grounds man has experienced some difficulties with regards starting the vehicle. Cllr. Lewis agreed to investigate further.

It was agreed that the invoice from Devon Garden Machinery is paid.

Urgent maintenance issues with regards all other grounds with permission of the Chairman:


Japanese Knotweed: The Clerk was requested to inform E.N.P.A. that Japanese Knotweed was present at Kings Corner.

Mower Storage: Members agreed that the P.C.C. is approached with regards of the use of the shed in the Church Yard. In the event that it was proposed that it is replaced with a new one, DTC would be prepared to consider a one off payment towards the cost.

Church Yard Boundary Wall Refurbishment: The Clerk is requested to write to the Diocese, a copy to be sent to the P.C.C. requesting a donation to the costs incurred now the work has been completed, highlighting how much it has ultimately cost the residents of Dulverton.

W.S.C. Grass Cutting: Concern has been raised concerning the grass cutting requirements around the Lorna Doone Statue and the War memorial. Cllr. Dubery will pursue.
